Refunds & Returns Policy

This Refunds & Returns Policy explains how cancellations, refunds, returns, deposits, and return shipping are handled for orders placed on RentTrenchless.com (the “Site”). This policy applies to (1) equipment rentals and (2) items purchased to own (such as accessories).

1) Equipment Rentals

1.1 Rental Charges & Rental Period

Rental pricing and availability are based on the rental package selected (weekly/monthly) and the scheduled pick-up/start date shown on your order confirmation.

1.2 Security / Damage Deposit

Some rentals require a refundable security/damage deposit (shown at checkout). Deposits may be used to cover amounts owed under the rental agreement, including (without limitation) damage, missing components, excessive cleaning, misuse, late charges, shipping costs owed, or other fees.

After equipment is returned and inspected, we will refund any remaining eligible deposit balance to the original payment method. We typically initiate deposit refunds within 7–10 business days after return/inspection (your bank/card issuer may take additional time to post the credit).

1.3 Rental Cancellations

If you need to cancel a rental reservation, notify us as soon as possible. Because equipment is reserved for your scheduled dates, cancellation fees may apply.

Cancellations within 24 hours of pick-up / start

If a rental is canceled within twenty-four (24) hours of the scheduled pick-up/start time:

  • Any rental charges may be non-refundable, and

  • If we paid for shipping, the customer is responsible for the shipping fees we incurred, and those shipping fees may be charged to the original payment method and/or deducted from any refundable deposit balance.

No-shows

No-shows may be treated as a late cancellation and may be non-refundable.

1.4 Early Returns

If equipment is returned early, we generally do not issue refunds or credits for unused time, since the equipment was reserved for your rental period.

1.5 Extensions, Late Returns, and Overage Charges

If you need additional time, contact us before your rental period ends. Extensions are subject to availability and additional charges. Late returns may result in additional charges, including daily/weekly overage, and may also create liability for service interruption where applicable.

1.6 Condition on Return; Damage, Loss, and Cleaning Fees

You are responsible for returning equipment:

  • in good working condition (normal wear and tear excepted),

  • with all included accessories/components, and

  • reasonably clean and ready for inspection.

If equipment is returned damaged, incomplete, excessively dirty, misused, or non-functional due to improper operation, we may charge repair/replacement costs (including parts and labor), missing-item fees, cleaning fees, and/or other amounts allowed under the rental agreement. These amounts may be deducted from the security/damage deposit and/or charged to the payment method on file.

1.7 Equipment Issues

If equipment is not operating properly, contact us immediately. Refunds or credits (if any) related to equipment issues are handled case-by-case based on time in service, the nature of the issue, and whether misuse contributed to the problem.


2) Purchases (Accessories)

2.1 Return Eligibility

Unless otherwise stated on the product page, eligible accessory purchases may be returned if:

  • a return request is made within 30 days of delivery, and

  • items are unused, uninstalled, and in original packaging with all included materials.

2.2 Restocking Fees (Accessories)

Accessory returns may be subject to a restocking fee to cover inspection and processing. The restocking fee (if applicable) may be deducted from the refund amount. Restocking fees may vary depending on the product type and condition.

2.3 Non-Returnable Items

The following are generally non-returnable (except where required by law or in the event of our shipping error):

  • used/installed/opened items,

  • custom/special-order items,

  • clearance/final sale items,

  • items returned missing packaging or components.

2.4 Return Process & Shipping

To start a return, email info@renttrenchless.com with your order number and the item(s) you wish to return. If approved, we will provide return instructions.

Original shipping/handling fees are non-refundable (unless the return is due to our error). Return shipping is the customer’s responsibility unless the return is due to an incorrect or defective item.

2.5 Refund Timing (Accessories)

Once your return is received and inspected, approved refunds will be issued to the original payment method. Your bank/card issuer may take additional time to post the credit.


3) Disputes / Chargebacks

If you have a concern about a charge, please contact us first so we can resolve it. Chargebacks do not eliminate obligations for legitimate rental charges, late fees, damage/loss, or shipping costs owed under the rental agreement.
